Last updated: August 2026. This policy explains how Ghost Retrofits (a trading name of Vault Motors LTD) collects, uses and protects your personal data in accordance with the UK GDPR and the Data Protection Act 2018.

  • Contact details — name, phone number, email and postcode when you WhatsApp, text, call or email us.
  • Vehicle details — make, model, year, registration and VIN, where relevant to quoting and installing.
  • Booking and payment records — appointment dates, deposit and balance payments, invoices and warranty paperwork.
  • Technical data — IP address, browser type, device information and pages visited (via standard server logs and analytics).

3. How we use your data

  • Provide quotes, book appointments and carry out installations.
  • Issue invoices, fitting certificates and insurance paperwork.
  • Respond to enquiries and provide after-sales support and warranty.
  • Maintain our records and meet legal, tax and accounting obligations.
  • Improve our website and understand how customers find and use it.

4. Legal basis for processing

We rely on (a) contract — to quote, book and deliver your installation; (b) legitimate interests — to run our business, respond to enquiries and keep records of work carried out; and (c) legal obligation — for tax, accounting and insurance compliance.

5. Sharing your data

We never sell your data. We only share it where necessary with:

  • Product manufacturers (Autowatch, Scorpion, Meta Trak, Thinkware, BlackVue) for registration, activation and warranty.
  • Tracker monitoring centres (Global Telemetrics, Meta Trak ADR, ScorpionTrack) when you opt in to a monitored subscription.
  • Payment processors and our accountants for invoicing and bookkeeping.
  • Government or regulatory bodies when legally required.

6. How long we keep your data

We keep enquiry messages for up to 24 months. Booking, invoice and warranty records are kept for a minimum of 6 years to meet HMRC and consumer-rights requirements. Marketing data is removed within 30 days of any opt-out request.

7. Cookies and analytics

Our website uses essential cookies to function and may use privacy-friendly analytics to understand traffic patterns. You can block or delete cookies in your browser settings at any time. We do not use third-party advertising cookies.

8. Your rights
